PDF Maker

If existing PDF templates doesn’t meet your business requirements, PDF Maker will help you to create custom templates for Invoice, Quotes, Sales Order and Purchase Order modules. As a result, you can use customized documents for your business operations.

Installation


PDF Maker is an extension. You will have to install the extension to create custom templates

Follow few simple steps to install PDF Maker

  1. Click Setting.png gear icon in the top right
  2. Click CRM Settings
  3. Click ‘Studio’ drop-down in the left
  4. Click Module Manager. You can click on PinIcon.png pin icon next to it to add a shortcut to your settings home page
  5. Click Import Module button in the top right
  6. Locate PDF Maker Free Extension and click Install button next to it

After successful installation, you can locate PDF Maker extension under ‘Other Settings’ block in Settings page

Getting Started


Your organization must be using custom templates to manage inventory operations. With PDF Maker, you can design identical templates for Invoices, Sales Orders, Purchase Orders and Quotes.

Steps to create custom templates

  1. Click Setting.png gear icon in the top right
  2. Click CRM Settings
  3. Click ‘Other Settings’ drop-down in the left
  4. Click PDF Maker. You can click on PinIcon.png pin icon next to it to add a shortcut to your settings home page
  5. Select desired module to create custom template
  6. In the edit view of template, you can either completely remove the default template or make some modifications on it.
  7. Write some text in Body, Header or Footer section.
  8. Set the cursor into position, choose your variable and click on ‘”Insert into template'” button. You can make some design adjustments, too.

In the edit view of default template, you will be able to see information under five different tabs

Properties
Module To select fields from selected module(Invoices, Quotes, Sales Orders and Purchase Orders etc
Related Modules To Select fields from related module. For instance, Organizations, Contacts etc are related modules for Invoice module
Product Block Template To select product or service information of individual or group tax
Other Information
Company and User Information To select Company related information configured in Company Details feature, and Current user and Assigned to user information from My Preferences
Terms and Conditions To select Terms and Conditions.
Current Date Insert current date in different formats
Barcodes To select barcodes into your template
Label
Global language To select all simply CRM global language expressions
Module language To select all main module language expressions

Note

You can choose variables from Global simply language file or variables from selected module. While exporting file into PDF format, variables will be replaced with translated string.

Product Block
Product block To manually define product block start and end
Common fields for Products & Services To select data (like Unite Price, Quantity, Discount,Description, ..) for Products or Services from Invoice, Quote, Sales or Purchase Order
Available fields for Products To select all available fields from Products Module (like Product Category, Vendor, …)
Available fields for Services To select all available fields from Services Module (like Product Category,…)
Product block template To select default product block templates that you can be modified according to your requirements

Note

Product/Service variable used by Product block should be defined in between PRODUCT BLOCK START and END tags

Settings
Page Format To select Page Format (from these types A3, A4, A5, A6, Letter, Legal)
Page orientation To select page orientation (Portrait or Landscape)
Ignored picklist values To select the picklist values separated by comma, which will be ignored in PDF templates. (i.e. –None–, –none–, –keine–)
Margins You can define Margins of page (Top, Bottom, Left, Right)
Number format dec_point – Sets the separator for the decimal point. decimals – Sets the number of decimal points. thousands_sep – Sets the thousands separator.

Inserting Images


You can personalize your custom template by inserting images.

Steps to insert images

1. Click image icon

2. Click Upload tab

3. Browse for the file and click Send it to the Server button.
4. Click Ok

Inserting Tables


You can also populate tables into your template to represent data in tabular format

Steps to insert tables into your custom template

1. In the edit view of template, click table icon located on tool bar

2. Set a basic table properties like width, height, column and rows count

3. After that the table is inserted into template, you can write text, insert all available fields from chosen and related Modules or add some images into this new table. You can also make some design adjustments like bold text, underline etc.

Exporting PDF Files


After successfully creating your custom template, you can export personalized business orders in PDF format.

Steps to export files to PDF format

  1. Click Invoices’ tab. You can find Invoices module under All dropdown on menu-bar. You can also export Quotes, Sales Orders and Purchase Orders.
  2. Click desired record
  3. In the detail view of the record, click on PDF Maker drop-down in the left
